EDIST App Privacy Policy
The Electricity Distributors Association (EDA) respects your privacy and is committed to the accuracy, confidentiality, and protection of your personal information. This Privacy Policy explains how the EDIST mobile application (“App”) collects, uses, discloses, and safeguards your information in connection with the EDIST Conference and related events.
By downloading or using the App, you consent to the practices described in this Privacy Policy. If you do not agree, please do not use the App.
The EDA is a not-for-profit corporation based in Ontario, Canada. We comply with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Canadian privacy laws.
What types of information does the EDIST App collect and how is it used?
The following outlines the main types of information the App may collect and our primary uses of that information. If we collect additional personal information or use your information for new purposes, we will notify you and, where appropriate, obtain your consent.
Attendee information provided by organizers (pre-uploaded from registration): Event organizers may upload your first name, middle name, last name, designation, title, company, city and province, email, phone, profile image (headshot), and professional biography. This enables attendee lists, speaker/exhibitor directories, networking, QR code scanning (lead exchange), surveys, polls, Q&A, and gamification within the App. You may edit your profile, control its visibility to other attendees, or request removal from the attendee list via the App settings or by contacting us.
Information you provide directly in the App: You may add or modify profile details, upload or update a headshot, and (where enabled) post photos, comments, or messages in social/networking features.
Device and usage information: When you install or use the App, the App’s platform (Eventpedia) may collect device model, operating system version, unique device identifiers, IP address, in-App engagement metrics (e.g., features used, session duration), crash and performance data. This information helps operate the App, monitor performance, enhance user experience, and generate aggregated adoption/engagement analytics for event planning.
Graphics, images, and camera: If you use the App’s camera to scan QR codes for sessions, exhibitors, or attendee badges, you explicitly share your profile information with the organizer, exhibitor, or attendee associated with that QR code. Any photos you upload are voluntary and may be visible to other attendees according to the App’s settings.
Location and notifications: If you grant permission, the App may use approximate location to support event mapping or nearby session features. If you enable push notifications, the App may send real-time event updates, reminders, and announcements. You can change these permissions at any time in your device settings.
Communications and analytics
Communications: We may use your information to send important service messages about schedules, updates, reminders, changes to sessions, or other event-related notices. Marketing communications (if any) will be sent only in accordance with applicable consent requirements and can be opted out of at any time.
Analytics: The App uses analytics services provided by the Eventpedia platform to evaluate usage (e.g., feature adoption, attendance metrics) in aggregate. Where analytics involves personal information, it is processed under confidentiality and data-protection obligations and used to improve event operations and attendee experience.
Does the EDIST App share my information?
The EDA does not sell or trade your personal information. We may share information only as follows:
- Event organizers and exhibitors: To facilitate event participation (e.g., attendee lists, lead retrieval via QR scans, session/exhibitor interactions). QR scans explicitly share your profile with the scanning party.
- Other App users: Your profile (including your headshot, if provided) may be visible to other attendees based on your settings.
- Service providers (including Eventpedia): Hosting, analytics, notifications, and support providers engaged under contracts requiring confidentiality, data protection, and use only for our instructions.
- Legal and compliance: When required by law, regulation, or court order, or to protect rights, safety, or security.
- Business transfers: In the event of merger, acquisition, restructuring, or similar transaction involving the App; appropriate safeguards will be applied.
How long will the EDIST App retain my information?
We keep personal information only as long as necessary for the purposes described in this Policy or as required by law. After events conclude, data may be archived for a limited period for operational, audit, or reporting purposes and then securely deleted or anonymized. You may request deletion of your profile/data using the methods described below.
How does the EDIST App obtain consent and manage permissions?
When we collect personal information directly from you, we will state the purpose at or before the time of collection. You may decline to provide personal information and/or disable certain permissions, although some App features may not function without them. App permissions (e.g., camera, location, notifications) are requested only when needed for core features and can be changed in your device settings at any time.
How does the EDIST App protect personal information?
EDA and Eventpedia maintain administrative, technical, and physical safeguards—such as encryption of data in transit, access controls, and monitoring—to protect against unauthorized access, disclosure, alteration, or destruction. While we strive to protect your information, no system can be guaranteed 100% secure.
International processing
Although EDA is located in Canada, our service providers (including Eventpedia) may process or store data in other jurisdictions. In such cases, personal information may be subject to the laws of those jurisdictions. Appropriate contractual and organizational safeguards are used to protect your information consistent with Canadian law.
Access, correction, deletion, and choices
You may request access to, or correction of, your personal information, withdraw consent to certain processing, or request deletion of your App profile/data (subject to legal/contractual limits). You may also adjust profile visibility within the App and change App permissions (camera, location, notifications) via your device settings.
Children’s privacy
The EDIST App is intended for professional/industry attendees aged 18 and older. We do not knowingly collect personal information from minors. If we become aware that we have inadvertently collected information from a minor, we will delete it promptly.
Links to other websites or services
The App may contain links to third-party websites, services, or apps (e.g., exhibitor pages). Those sites operate independently of EDA and have their own privacy policies. We encourage you to review their policies before submitting any information.
Updates to this Privacy Policy
Our programs and the App may evolve over time. This Privacy Policy will be updated periodically to reflect those changes. Whenever we revise this Policy, we will update the effective date below. Continued use of the App after posting a revised Policy constitutes your acceptance of the changes.
